How to Set Up a QR-Code Menu or Catalog That Updates Itself
The secret to a QR menu you never reprint isn't a fancy QR — it's understanding that the code should point to a page you control, not contain the menu itself. Here's the build, and the subscription trap to avoid.

Almost everyone builds a QR menu wrong the first time, reprints it three times in a month, and concludes QR codes are a hassle. They’re not. You just need one idea, and the whole thing becomes set-it-and-forget-it.
Here’s the idea: a QR code is just a link. The magic isn’t in the code — it’s in what the code points to. Build it so the QR points to a page you control, and you can change the menu, the prices, the whole catalog as often as you like, and the printed code on the table never changes. That’s the “self-updating” part. The paper stays; the page behind it moves.
The one mistake to never make
Some “QR menu generators” let you paste your menu text into the QR itself. Never do this. That bakes the menu into the printed code — change a price and the QR is now wrong, so you reprint everything. You’ve made a paper menu with extra steps.
The right way is always: QR → a web address → a page that holds your menu. Only the page changes. The code is permanent.
Step 1 — Put your menu on a page you control
You need a single web page that holds the menu or catalog. In rough order of effort:
- A page on your real website — best option if you have a site. It’s on your domain, matches your brand, and you own it outright.
- A free hosted page — a published Google Doc, a Google Site, or a Notion page works in a pinch. Free and instantly editable. The downside is it’s on their domain and looks generic.
- A simple linktree-style page if you just need to point people at an existing online menu or ordering link.
The non-negotiable: it must be a page you can edit anytime and whose address never changes. That stable address is the whole trick.
Step 2 — Generate a static QR (this is the important word)
When you make the QR, you’ll see two flavors, and the difference is the entire article:
- A static QR encodes your URL directly. It’s free, permanent, works forever, and nobody can switch it off. This is what you want.
- A dynamic QR encodes a middleman URL owned by the QR company, which redirects to yours. It lets you change the destination later — but it only keeps working as long as you keep paying them, and if the subscription lapses, every code you printed dies at once.
For a self-updating menu you do not need dynamic QR, because you’re never changing the destination — you’re changing the page at the destination. So use a free static generator, encode your stable URL, and you’ve sidestepped a monthly bill and a hostage situation.
Rule of thumb: if a QR service is charging you monthly “so your code keeps working,” walk away. A static code pointing at a page you own keeps working for free, forever.
Step 3 — Print it to survive the real world
A menu QR lives on a table, a window, a wall — wet, greasy, sun-bleached environments. Print it big enough to scan from a seated distance, with a short “Scan for menu” label so people know what it is, and protect it:
- A QR code table stand / acrylic sign holder for table-side or counter use.
- A laminator if you’re printing your own table tents — lamination is the difference between “lasts a year” and “lasts a lunch.”
- A label printer if you want clean adhesive QR labels for windows, packaging, or shelf edges.
Step 4 — Test it like a customer will
Before it goes live: scan it with both an iPhone and an Android phone, on cellular data (not your shop wifi), from the actual distance and lighting where it’ll live. Most QR failures are mundane — printed too small, glare on the lamination, a page that’s slow or broken on mobile data. Catch them before a customer does.
Step 5 — Now just edit the page
This is the payoff. Sold out of something? Price change? Seasonal special? You open the page, edit it, save. Every printed code instantly shows the new version because they all point to the same page. You will never reprint a QR again for a content change. That’s the whole promise, delivered.
Where this starts to strain
The free-page version is perfect for a menu. It starts to creak when your “menu” becomes a real catalog — dozens of products, categories, search, photos, “in stock / out of stock,” maybe ordering. A Google Doc can’t be that. At that point you don’t want a prettier document; you want a small catalog page wired to your actual inventory, so “out of stock” updates itself when the stock runs out instead of waiting for you to remember to edit a doc.
